A busy service can mean hundreds of tickets, three tender types, tips on most of them and a delivery app or two on the side. The POS knows all of it. The books usually get a weekly total typed in by hand, and the month-end reconciliation is where the gaps show up.
Where restaurant books go wrong
- Tips booked as sales. Card tips are owed to staff. Recorded as income, they inflate revenue and confuse payroll.
- Deposits that don’t match the day. Card batches settle a day or two later and arrive minus fees, so Tuesday’s sales and Thursday’s deposit never line up without a clearing account.
- Cash that disappears into “other”. Cash sales, paid-outs and over/short need their own lines or they can’t be checked.
- Delivery apps netting their cut. A DoorDash or Uber Eats payout is sales minus commission; recording only the payout hides the real cost of delivery.
- Gift cards as income on the day they’re sold, when they’re really a liability until redeemed.
Your POS to QuickBooks, set up on request
| POS | To | Status |
|---|---|---|
| Toast | QuickBooks | Set up on request |
| Clover | QuickBooks | Set up on request |
| Square | QuickBooks | Set up on request |
Setup is a short call about your locations, menu categories and how your bookkeeper likes sales recorded. Pandaflow builds the sync, tests it against a few real days, and then posts every morning. Its AI agent repairs the sync when the POS or QuickBooks changes something.
The daily entry, line by line
- Net sales by category: food, beverage, alcohol, merchandise, so cost of goods can be compared to each.
- Discounts, comps and refunds on their own lines.
- Sales tax collected, by location.
- Tips to tips payable, never income.
- Gift cards: sold to a liability account, redeemed back out of it.
- Tenders: card to a clearing account, cash to the cash account, delivery apps to their own clearing accounts.
- Fees and commissions as expenses when each deposit lands.
This is an illustrative setup, not a customer story. A two-location café on Square posts one QuickBooks entry per location each morning. Tips go to tips payable, the card clearing account empties when Square’s deposit arrives, and the owner sees food and drink sales separately.
