Your booking system knows every sale: intro offers, memberships, class packs, services, retail and gift cards. Your accountant needs those numbers in QuickBooks. In most small businesses, someone copies them across from a report at the end of each day or each month, and reconciliation is where the hours go.
In short: Pandaflow records your booking system’s sales in QuickBooks Online automatically, mapped to your chart of accounts. Connect both, describe how you want sales recorded, and the agent posts the entries and keeps posting them, including when either app changes.

Mindbody
Mindbody’s own help center says plainly that Mindbody does not integrate directly with QuickBooks and suggests using its reports to collect sales information instead. Pandaflow reads the same sales data through Mindbody’s API and posts it for you. See Mindbody and QuickBooks.
Booker
Booker’s documented route is to export sales transactions and import them as IIF files, which is a QuickBooks Desktop format. Pandaflow skips the file step and records Booker sales in QuickBooks Online. See Booker and QuickBooks.
What lands in QuickBooks
| From your booking system | In QuickBooks Online |
|---|---|
| Daily sales, split by type (memberships, packs, services, retail) | A journal entry or sales receipt per day, per location, to your income accounts |
| Sales tax collected | Your sales tax liability account |
| Card, cash and other payment methods | Undeposited funds or clearing accounts, ready to match to bank deposits |
| Gift card and prepaid sales | A liability account until redeemed |
| Refunds and discounts | Contra-income or the accounts your bookkeeper chooses |
| Tips (if you collect them) | A tips payable account |
Summary entries keep QuickBooks clean. If you’d rather have each sale as its own record with the client as a QuickBooks customer, say so; that suits businesses with few, larger sales.
Automations it enables
- Daily sales posting for each location, the morning after, without anyone opening a report.
- Deposit matching. Card batches land in the clearing account you choose, so bank feed matching in QuickBooks takes minutes.
- Gift card tracking. Sold gift cards and redemptions move through a liability account instead of inflating income.
- Month-end check. A short summary comparing booking-system totals with what was posted, so differences are caught early.
Memberships, class packs and deferred revenue are accounting decisions as much as technical ones. Agree the mapping with your bookkeeper, run a few days, and compare the entries with your sales report before relying on them.
To get started, start free, connect your booking system and QuickBooks Online, and describe your setup, for example: “Post one entry per day per location with sales by type, tax, and payment method to undeposited funds. Gift cards go to Gift card liability.”
QuickBooks often sits next to an online store. If you sell retail on Shopify, see Shopify. For the bigger picture by business type, see fitness studios or salons and spas.
