HubSpot is a good home for a small business’s marketing: a free CRM, email, forms, landing pages and lists in one place. What it doesn’t have on its own is your booking data. The people who walk through your door live in Mindbody or Booker, and without their visits and purchases, HubSpot can only send everyone the same email.
In short: Pandaflow fills HubSpot with what your booking system knows: who bought an intro offer, who stopped coming, whose pack is running out, and who is a member. You describe the lists and follow-ups you want; the agent sets up the sync, runs it, and repairs it if either app changes.

Mindbody
HubSpot publishes a free Mindbody Data Sync app that keeps contacts in step. It’s worth trying, but it stops at contact details. Booker
Salons and spas on Booker want the same thing for a different rhythm: rebooking reminders, birthday offers and a nudge when a regular hasn’t been in for a while. Pandaflow sends Booker customers, appointments and purchases to HubSpot. See Booker and HubSpot.

Contacts are matched on email address, which is how HubSpot identifies people. Families who share one email in Mindbody are the usual snag; decide which person owns the email in HubSpot before you go live.
Automations it enables
Once the data is there, HubSpot lists turn into follow-ups that run without the front desk remembering them:
- Intro-offer follow-up. A welcome email the same evening, a check-in after the second visit, and a membership offer before the intro expires. It stops as soon as the client buys.
- Slipping members. When visits drop sharply, an email or text from the owner before the member cancels.
- Pack running low. A “time to top up” note when one or two visits are left.
- Lapsed clients. A win-back offer after 60 days without a visit.
- Rebooking reminders for salons and spas, timed to each client’s usual gap between appointments.
To set it up, start free, connect your booking system and HubSpot, and describe what you want, for example: “Sync every client with last visit, visit count and active membership, and add intro-offer buyers to a list called Intro offer.” Check five clients you know well before building emails on top.
