What does Pandaflow post to Xero?
Pandaflow posts sales into your books as clean, summarized entries rather than dumping thousands of individual sales lines. Mindbody sales sync to Xero live today. Stripe and WooCommerce connections are set up on request. Each day, sales data is shaped into a single summarized entry per location, showing what you sold, what the payment processor deducted, and what is owed.
Key sales components are separated on distinct lines:
- Gross sales broken down by revenue category (with discounts itemized)
- Sales tax calculated per location
- Tips mapped to a liability account
- Gift card sales booked as liabilities
- Gift card and account credit redemptions
- Customer refunds and dispute adjustments
- Merchant processor fees
- Card payments directed to a clearing account
This integration focuses entirely on sales entries into your general ledger; payroll, bills and purchasing remain outside this scope. Standard third-party connectors often post every single transaction or only capture net bank deposits. Check what your existing setup leaves undone before closing your month.
How does Mindbody sales data get into Xero?
The Mindbody to Xero connection is live. You can review the details on the Mindbody and Xero integration page.
Setup requires no manual workflow building. You describe your intended outcome in plain English, such as: “Every night, post each location’s sales as a daily journal. Send tips and gift card sales to separate liability accounts, and route card batches into the clearing account.” Pandaflow’s AI configures the sync and monitors it to repair mappings if changes occur.
Two accounting treatments should be confirmed with your bookkeeper beforehand:
- Gift card and account credit tenders: Selling a gift card is unearned revenue, not earned income. When a client redeems a gift card for a class or service, no new cash enters the business. If both events are posted to revenue accounts, sales are counted twice. Pandaflow logs gift card sales to a liability account and releases from that liability upon redemption.
- Packages and memberships: When selling a 10-class pack upfront for classes delivered over months, confirm whether your business reports on a cash or accrual basis. Pandaflow maps to whichever treatment your bookkeeper instructs.
For multi-studio operations, Pandaflow creates one summarized entry per location per day, tagged with the appropriate Location tracking category and local sales tax rates.
How do Stripe and WooCommerce sales reach Xero?
Stripe and WooCommerce integrations are set up on request rather than self-serve. You can explore the Stripe connection on the Stripe and Xero integration page.
Stripe: Pandaflow posts gross charges, fees, refunds and chargebacks. Because Stripe batches payouts net of fees and across multi-day rolling windows, single-day deposits rarely equal single-day sales. Routing sales and fees through a clearing account allows each Stripe bank payout to match as a single transaction against that clearing account on Xero’s reconcile screen.
WooCommerce: Entries separate product sales, shipping fees, tax by jurisdiction, and order refunds. Because WooCommerce stores often process payments through Stripe, clarify which system serves as the revenue source to prevent recording the same sale twice.
Avoiding duplicate records: If your Mindbody point-of-sale also runs through a connected Stripe account, establish Mindbody as your source of revenue and use Stripe solely to record merchant fees and bank clearing transfers.
What do the entries look like in Xero?
Entries can be drafted as daily summarized invoices or as manual journals. An invoice provides a customer contact and open receivable balance against which payment batches match. A manual journal offers a cleaner view for balanced debit and credit ledger postings, including tips and merchant fees. Both types can post in draft status for bookkeeper review before approval.
| Sales data | Where it lands in Xero | Why it is kept separate |
|---|---|---|
| Gross sales by category | Revenue accounts, with Location tracking | Ties to daily sales reports and maintains location-specific P&L reports |
| Sales tax | Tax liability account or tax rate by location | Tax collected is owed to tax authorities, not operating income |
| Tips | Tips liability account | Gratuities belong to service staff, keeping payroll liabilities clear |
| Gift card sales | Gift card liability account | Revenue is recognized when services are redeemed, not when cards are sold |
| Gift card or credit redemption | Liability clearing line | Offsets stored value without inflating operating revenue |
| Processor fees | Merchant fees expense account | Payouts are net of processing costs; gross revenue must reflect the full charge |
| Refunds and chargebacks | Revenue contra-accounts or dispute accounts | Keeps historical sales accurate and reflects return activity in payout balances |
| Card payments | Clearing / undeposited funds account | Allows the bank feed to match the aggregate merchant payout in one click |
Each entry includes a standard reference combining date and location. If a sync re-runs, it updates the existing entry rather than creating duplicates.
Tracking categories: Xero allows up to two active tracking categories per organization, with up to 100 category options each. Pandaflow applies your primary category (such as Location) to every line item, leaving your second category available for revenue lines like program types or business units.
Late edits and lock dates: Adjustments, voids or late refunds can occur after a day has posted, or within a period locked by Xero’s lock date setting. Pandaflow can record corrections into the current open period with reference notes linking back to the original transaction date.
How do I set it up?
Setting up the integration follows five straightforward steps:
- Start free.
- Connect Xero and Mindbody (or request Stripe and WooCommerce connections).
- Describe what you want in plain English.
- Review a few records by checking a day’s summarized entries against your source sales report and verifying the clearing account balance.
- Go live.
Prepare your Xero chart of accounts in advance with your bookkeeper: operating revenue accounts, local tax rates, tips liability, gift card liability, merchant fee expense, and an undeposited funds clearing account.
Pandaflow is free to start. Paid tiers include Lite at $79, Silver at $299 and Gold at $499 a month (see pricing). Deployments can run in our cloud or yours.
What can go wrong
- Missing account codes: Inactive or deleted accounts in Xero cause API sync errors.
- Tax rates unassigned by location: Multi-site operations without location tax rates generate mismatched tax return reports.
- Lock date conflicts: Setting a lock date without establishing an adjustment period blocks retroactive reconciliation entries.
- Double-counted revenue: Recording simultaneous revenue feeds from both an ecommerce cart and a merchant gateway.
- Early bank reconciliation: Matching a bank deposit before the corresponding daily clearing journal has posted creates duplicate clearing balances.
Always confirm tax handling, cash-versus-accrual treatment, and gratuity distributions with your qualified accounting professional.
