Booker Mailchimp: Keep Client Lists Synced

You can get Booker clients into Mailchimp or Klaviyo today by exporting a client list and importing it, but that file is a snapshot and goes stale within a day. Keeping marketing permission, last visit and services current needs a sync, and Pandaflow sets one up from a plain-English description. Whether Booker offers a native connector for your account should be confirmed in Booker's help, at the time of writing.

Does Booker connect to Mailchimp or Klaviyo?

Yes, in the sense that you can get Booker clients into Mailchimp or Klaviyo today. A CSV export works. The problem is the next day: new clients, rebookings, changed emails and opt-outs all miss the file. If you want last visit, services and marketing permission to stay current, you need a sync.

Be careful with connector pages you find online. Klaviyo’s published connector page is for Mindbody. Mailchimp’s marketplace listing for a booking tool is for Bookeo. Neither documents Booker. Check Booker’s own help for your account, at the time of writing, before you assume a native connector exists or doesn’t.

This page covers the manual export, where it breaks, and the synced version. More step-by-step connection guides are in the Pandaflow guides.

How do you export Booker clients to Mailchimp by hand?

Use Booker’s client export. Menu names change, so look for the client list or export option in your account rather than following a fixed click path. Then work through these steps:

  1. Keep only the columns you need: first name, last name, email, mobile, marketing email permission, last visit date, and services or location where the export includes them.
  2. Filter to marketing-permitted clients. Drop anyone who hasn’t agreed to promotional email, and drop blank email addresses.
  3. Dedupe shared emails. Two clients sharing one address (a couple, a parent and a teen, a front-desk inbox) need a decision first.
  4. Import into Mailchimp using the CSV import for your audience. Map columns to merge fields and add a tag for the service type or source.
  5. In Klaviyo, import to a list and map columns to profile properties.

This works for a first load. Run it once and you have a starting list.

Where does the manual export break?

The export is a snapshot, and most of the damage comes from that.

  • Stale timing. A client who rebooked yesterday still gets the lapsed-client email, because the file doesn’t know about the new appointment. A win-back note sent to someone who just came back looks careless.
  • Unsubscribes don’t flow back. If a client unsubscribes in Mailchimp or Klaviyo, Booker may still show them as marketing-OK. A later re-import or a send from another tool can reach them again. Mailchimp won’t re-subscribe a contact who unsubscribed just because they appear in a new CSV import, but that protects only the email tool, not your Booker record.
  • Service history is lost. If one ‘last service’ column gets overwritten each time, you can’t segment ‘color clients with no visit in eight weeks’. A cut in March and a color in May leave one field showing May.
  • Shared emails merge clients. Mailchimp keeps one contact per email address. Two Booker clients on one address become one contact, and their services and dates overwrite each other.
  • Re-exporting is manual work. Every few months someone has to do it, and that is the step people stop doing.

How do you keep Booker and your email tool in sync with Pandaflow?

You don’t switch tools. Booker stays where it is, and Mailchimp or Klaviyo stays too. Pandaflow connects the two, and you can see how it works on the Booker integration page.

The setup is four steps:

  1. Start free.
  2. Connect your apps: Booker, and Mailchimp or Klaviyo.
  3. Describe what you want in plain English. An example:

Keep my Booker clients in Mailchimp. Only include clients who allow marketing email. Tag each client by the service category they book. Keep last visit date and next appointment date current. When someone unsubscribes in Mailchimp, mark them as opted out in Booker.

  1. Review a few real records, then go live. Pick a handful of clients: one with a shared email, one with no email, one who has unsubscribed, and one with a future appointment. Check that each lands correctly before you send anything.

There are no workflows, templates or settings to configure. Once it runs, you should see new clients appear in your email tool, last visit and services update after each appointment, and opt-outs respected in both directions. If something changes on either side, Pandaflow’s AI repairs the sync.

Pandaflow is free to start. Paid plans are Lite at $79, Silver at $299 and Gold at $499 a month, and you can deploy in Pandaflow’s cloud or your own. See pricing for the current details.

Which segments help you rebook clients?

The value is in the segments, not the list. This is what Booker data can feed:

Booker data Mailchimp result Klaviyo result Used for
Name, email, mobile Contact with merge fields Profile with properties Personalized sends
Marketing email permission Subscribed or unsubscribed status Email consent on the profile Only emailing clients who agreed
Last visit date Date merge field Profile property Lapsed-client segments
Next appointment date Date merge field Profile property Suppressing rebooking emails for booked clients
Services booked Service-category tags List property or visit event Service and cross-sell segments
Unsubscribe in email tool Unsubscribed contact Suppressed profile Written back to the client’s marketing preference in Booker

With that data in place, these segments work:

  • Lapsed by service: last visit older than that service’s usual gap, and no upcoming appointment.
  • First-time clients: one visit, no second booking.
  • Service cross-sell: booked a cut, never booked a color.
  • Upcoming appointment (suppression): clients with a future booking, excluded from rebooking sends.

A lapse threshold has to match your own visit gaps. Services don’t lapse on the same schedule. Read the gaps from your visit history for each service, and don’t copy a generic number. Use a suppression segment alongside the lapsed one. Without it, you’ll email people who are already booked.

This is an illustrative setup, not a customer story. A salon tags color clients in its email tool, sets a lapse threshold from its own color visit gaps, excludes anyone with a future booking, and sends a rebooking email with a booking link.

In Mailchimp, these conditions use tags plus segment rules. In Klaviyo, they use profile properties and events in the segment builder. Klaviyo’s Mindbody documentation notes that past membership events aren’t imported on connect, so check what history comes across before you build a segment that depends on it.

What can go wrong?

  • Promotions to clients without permission. Test the opt-in filter on a sample before the first send.
  • Double sends. If Booker also sends marketing-style email, turn off the overlapping messages. Klaviyo’s Mindbody guidance makes the same point about automatic emails.
  • Shared or missing emails. These distort counts. Check them before launch.
  • Clients across several locations. They can be duplicated. Decide which record is canonical.
  • SMS consent is separate. Don’t reuse an email opt-in for text messages. Klaviyo’s Mindbody documentation says SMS consent doesn’t sync from that connector, so don’t assume it carries over from Booker either.
  • Skipping the first check. Compare the first send against your review records before you email the whole list.
FAQ

Frequently asked questions

Does Booker integrate with Mailchimp?

You can move Booker clients into Mailchimp by exporting a CSV and importing it, or keep them synced with Pandaflow. Whether Booker has a native Mailchimp connector for your account is something to confirm in Booker's help, at the time of writing.

Can I segment by service in Mailchimp?

Yes, if the service data reaches Mailchimp as tags or merge fields. A one-time export usually carries only one services field, so keeping service tags current takes a sync.

Will unsubscribes sync back to Booker?

Not with a manual export, which only moves data one way. With Pandaflow you describe the outcome, such as marking clients who unsubscribe as opted out in Booker, and check it on a few records before going live.

Does Booker work with Klaviyo?

Klaviyo's published connector page covers Mindbody, not Booker. You can import Booker clients into Klaviyo by CSV, or keep them synced with Pandaflow, which maps client details, last visit and services to Klaviyo profiles.

Which Booker clients should go into my email tool?

Only clients who have given permission for marketing email and have a valid email address. Keep confirmations and reminders separate from promotional email.
