Booker QuickBooks: Get Daily Sales In Without IIF

Booker's documented route into QuickBooks is a manual export and import. We could not verify a native one-click connector from the sources used for this page, so check Booker's current documentation before you assume either way. The manual route tends to break on gift cards, tips, refunds and bank deposits, and Pandaflow can post each day's Booker sales to QuickBooks automatically as one entry per location.

Does Booker connect to QuickBooks?

Booker’s documented route is a manual export of sales data followed by an import into QuickBooks. We could not verify a native one-click Booker-to-QuickBooks connector from the sources used for this page. Features change, so check Booker’s current documentation or ask Booker support before you decide.

One thing catches people out: IIF is a QuickBooks Desktop format, and QuickBooks Online does not import IIF files. Online uses CSV and Excel-based imports, so an IIF tutorial you find online will often fail. If you want to see what else connects to your Mindbody or Booker data, browse the Mindbody and Booker integrations that Pandaflow supports.

What is the manual way to import Booker sales into QuickBooks?

The manual route works, but it is a daily chore. Here is the shape of it:

  1. In Booker, open the reports area and run the sales or accounting export for one day and one location. Look for the daily sales report type, since menu names vary by Booker version.
  2. Check that the export includes sales tax, tips, gift cards and each tender type (card, cash, gift card, account credit). A missing column means an incomplete import.
  3. Reshape the file into the columns QuickBooks Online expects for a journal entry import: date, account, debit, credit, description. Debits and credits must balance.
  4. In QuickBooks Online, use the journal entry or bank transaction import (CSV or Excel), upload the file, and review the entry before you save it.
  5. Repeat for every day and every location.

A correct daily entry looks like this. Your accountant should confirm the account names:

Booker data QuickBooks result Why
Service and treatment sales Credit to service income account(s) Earned when delivered
Retail product sales Credit to retail income Kept separate for margin reporting
Gift cards sold Credit to gift card liability Not revenue until redeemed
Gift card redemptions Debit gift card liability, credit income Revenue recognized on use
Sales tax collected Credit to sales tax payable Owed to the tax authority
Tips Credit to tips payable Passed through to staff
Card payments Debit to card clearing account Matched to the net processor deposit
Cash payments Debit to cash or undeposited funds Matched to the bank deposit
Refunds and voids Reversing or adjusting entry in the current period Keeps closed days intact

Have a bookkeeper or accountant sign off on this mapping once. QuickBooks’ ProAdvisor finder lets you search by location, industry and software, which helps if you need someone familiar with studios or salons.

Where does the manual import break?

The manual route fails in predictable places:

  • Skipped days. Someone has to do it every day or week. Missed days pile up, and month-end turns into a clean-up job.
  • Gift cards and packages booked as income. A raw export often lumps them into sales, which overstates revenue on the day of sale and understates it later.
  • Tips and sales tax landing in income. Both are generally liabilities. If they stay in the gross total, income is overstated.
  • The deposit won’t match. The processor deposits net of fees, on a delay, and after refunds and chargebacks. Without a clearing account, the difference looks like an error when it is timing.
  • Late voids and refunds. A void on a day you already imported has no clean place to go. Either the old entry gets edited, which breaks your audit trail, or the correction is missed.
  • Duplicate uploads. If the same file goes in twice and there is no unique reference, the double-count is hard to spot.
  • Inconsistent location tags. Multi-location books fall apart when one import is tagged and the next is not.

How do you automate daily Booker sales into QuickBooks with Pandaflow?

Pandaflow connects your apps and keeps the sync running. There are no workflows, templates or settings to configure. You describe the outcome, and Pandaflow’s AI sets up the sync and repairs it when something changes.

  1. Start free.
  2. Connect Booker and QuickBooks.
  3. Describe what you want in plain English. For example: ‘Each night, post yesterday’s sales for each location as one entry. Put gift cards in a gift card liability account, tips in tips payable, sales tax in sales tax payable, and card payments in a card clearing account.’
  4. Review a few days’ entries against your Booker report.
  5. Go live.

Once it runs, you see one entry per day per location, with the date and location in the reference (for example 2026-03-14-Downtown), so duplicates are easy to spot. When a refund or void changes a day that is already posted, you get a plain-English note saying what changed.

Pandaflow is free to start. Paid plans are Lite at $79, Silver at $299 and Gold at $499 a month. See pricing for details. Deploy in our cloud or yours.

This is an illustrative setup, not a customer story. A two-location salon posts one entry per location each night, and gift card sales sit in a liability account until they are redeemed.

How should Booker sales map to QuickBooks accounts?

The table above is the starting point. Settle the details with your accountant before go-live, especially:

  • Treatments, retail, memberships, packages and gift cards, each with its own income or liability account.
  • Whether locations are separated by QuickBooks Locations or Classes, or by separate accounts. Location tracking depends on your QuickBooks Online plan. Changing this later means re-tagging history.
  • How packages and memberships are recognized over time.

Write this mapping down and include it in your request when you describe the sync. Changing it after go-live means restating past periods.

What checks tell you the books are right?

Run these checks for the first few weeks, then monthly:

  • Compare the Booker daily total with the QuickBooks entry total for three or four recent days. Every difference should be explainable by tax, tips or gift cards.
  • Match the processor deposit to the card clearing account over a week, allowing for fees and delay.
  • At month-end, confirm the gift card liability balance matches outstanding gift card balances in Booker.
  • Review how refunds and voids on past days were posted, and whether each adjustment is visible.
  • Check that every day in the month has exactly one entry per location, with no duplicates.

For more reporting setups, browse the reporting guides.

What can go wrong?

The two most common problems are re-uploading a file that was already imported and changing the account mapping mid-year. Keep a reference on every entry, and agree the mapping with your accountant before you change it.

FAQ

Frequently asked questions

Does Booker integrate with QuickBooks?

At the time of writing, Booker's documented route is to export sales data and import it into QuickBooks manually. We could not verify a native connector from the sources used for this page, so check Booker's current documentation or ask Booker support.

Can I import an IIF file into QuickBooks Online?

No. IIF is a QuickBooks Desktop format, and QuickBooks Online uses CSV or Excel-based imports instead. Check the import options in your own QuickBooks version.

Why doesn't my Booker sales total match my bank deposit?

Card processors usually deposit net of fees and a day or more later, and refunds, tips and gift card sales change what is paid out. Post card sales to a clearing account and match the processor deposit to that account.

Should gift card sales count as revenue in QuickBooks?

Generally no. Gift card sales are usually recorded as a liability when sold and as revenue when redeemed. Confirm the treatment with your accountant.

How do I set up Booker to QuickBooks with Pandaflow?

Start free, connect Booker and QuickBooks, describe in plain English what you want posted and where, review a few records against your Booker report, then go live. Pandaflow's AI sets up the sync and repairs it when something changes.
