Mindbody to HubSpot: What the Native App Doesn't Sync

HubSpot's free Mindbody Data Sync app keeps contacts (names, emails, phone numbers) in sync between Mindbody and HubSpot. It doesn't bring over visits, purchases, memberships or intro-offer status, which are the details studios need for follow-up emails and segments. A full sync, such as Pandaflow, adds that client activity to HubSpot.

HubSpot is a good home for a studio’s marketing: email, forms, landing pages and simple automations, with a free CRM to start. The catch is getting Mindbody data into it. HubSpot’s own Mindbody app is a fine start, but it covers less than most owners expect.

What the native Mindbody app does

HubSpot’s Mindbody Data Sync app is free and built by HubSpot. It keeps contacts in sync in both directions: a new client in Mindbody shows up in HubSpot, and contact changes flow back.

If all you need is a current email list, that may be enough. It’s also free, so it’s worth trying first.

What it leaves out

Studios rarely want a contact list on its own. They want to email the right people, and that depends on what clients do in Mindbody.

Without visits and purchases, you can’t build the segments that make studio email work: new intro-offer buyers, members who stopped coming, packs about to run out.

Known issues, and how to fix them

Clients without a full name don’t sync. HubSpot community threads report that contacts missing either a first or last name are skipped. Look for clients with only a first name (common with walk-ins) and fill in the gap.

Families sharing one email overwrite each other. In Mindbody, parents often book for kids under one email address. In HubSpot, email identifies a contact, so the records collide. The agency Bluleadz describes this household problem in detail. Decide who should “own” the email in HubSpot, usually the paying adult, and store dependants as a note or custom property.

Mapping custom fields costs extra. Moving a custom field like “favorite class type” needs HubSpot Operations Hub Starter or higher with the native app.

How to set up a full sync with Pandaflow

Five lists to build first

Once visits and purchases are in HubSpot, these segments cover most of what a studio needs:

  1. Intro offer, last 14 days. Everyone who bought an intro offer recently and hasn’t bought a membership. This list feeds your conversion emails.
  2. Active members. For news, schedule changes and referral asks. Don’t send them intro discounts.
  3. Slipping members. Members whose visits dropped sharply, for example from three a week to one. People who are about to cancel often show this a few weeks early.
  4. Packs running low. Clients with one or two visits left, for a timely “time to top up” reminder.
  5. Lapsed clients. No visit in 60 or more days, for a win-back offer.

Each list becomes an automation trigger in HubSpot: when someone joins, they get the right message without anyone at the front desk remembering to send it.

Example: a boutique cycling studio

A single-location cycling studio sells a three-ride intro offer. The owner wants every intro buyer to get a welcome email that evening, a check-in after their second ride, and a membership offer before the intro expires.
