How does Mindbody calculate instructor pay?
Mindbody applies the pay rate configured on each staff member’s profile to the classes, appointments or hours recorded for them in a pay period, and reports the result in its payroll reporting. Staff management and payroll sit inside the platform, according to Mindbody’s own description of its gym software. Confirm the exact rate types and report names in your own account, because settings can change.
At the time of writing, a typical setup is a pay rate assigned to each staff member and service category. That rate can be flat per class, per visit, or hourly. Look for staff pay settings in your manager tools and the payroll report category. The exact labels vary by account, so do not assume a specific rate calculation exists until you verify it in your own screen.
Booker users also have staff commission and payroll-style reports, but the setup differs. Check your Booker account rather than assuming Mindbody’s rate types are mirrored there.
The standard report does one task reliably: it shows which classes each instructor taught in a given date range. What it cannot do is apply custom logic about which visits count toward bonuses, and that is where pay disputes usually begin.
How do per-head bonuses and thresholds work?
There are three common rule shapes for fitness studio instructor pay:
- Flat rate per class: the instructor earns a fixed dollar amount for each class taught, regardless of headcount.
- Per-head rate: the instructor earns a fixed dollar amount for every checked-in client.
- Base plus bonus above a threshold: a base class rate, plus an additional dollar amount per head once attendance passes a set threshold.
If you use a base plus bonus structure, decide on one mathematical distinction before writing your pay agreements. Does the threshold work as a marginal step, or as a cliff?
- Marginal step: only the heads above the threshold earn the bonus rate.
- Cliff: once the threshold is crossed, every head in the room earns the bonus rate.
This is an illustrative setup, not a customer story.
| Calculation type | Base pay | Bonus per head | Class attendance | Formula | Total pay |
|---|---|---|---|---|---|
| Marginal | $35 | $3 above 8 heads | 12 heads | $35 + $3 × (12 − 8) | $47 |
| Cliff | $35 | $3 if > 8 heads | 12 heads | $35 + $3 × 12 | $71 |
Both the owner and the instructor can look at the phrase “$3 bonus per head over 8 heads” and assume a completely different paycheck. Decide which model you use, write it in plain language, and make sure the calculation is visible to the instructor on every pay run.
Also decide in advance how your business treats late cancels, no-shows, introductory offers and guest passes. Write all rules into a dedicated rate table so there is no ambiguity when reconciling visits.
How do I exclude staff memberships and work-trade visits?
You can exclude non-revenue visits, but the exclusion usually has to be applied to raw visit data rather than the standard payroll summary. A basic payroll report records attendance tallies, not commercial intent.
The manual process requires four steps:
- Export class visit and attendance records for the pay period from Mindbody.
- Keep the essential fields: client name, class name, instructor, pricing option or pass used, and visit status (such as checked in or late cancel).
- Filter out visits that used staff memberships, complimentary passes, or work-trade arrangements.
- Count the qualifying heads per class and calculate the pay according to your rate rules.
Check whether your Mindbody tier allows filtering payroll attendance by pricing option directly. If it does not, you must maintain that exclusion filter in a spreadsheet.
Where the manual way breaks
The manual method works when you have one location, two instructors, and a handful of classes. As the schedule grows, it breaks in predictable ways:
| Pay rule | Where the standard report struggles | What the sheet does |
|---|---|---|
| Flat rate per class | Works for classes taught; substitute teachers may not be reflected if schedules were not updated | Pays the actual instructor and flags classes where the scheduled and actual instructor differ |
| Per-head rate | Counts all attendance, including comped, friend, and staff visits | Counts only visit types on your explicit ‘counts toward pay’ list |
| Base plus bonus above a threshold | Cliff versus marginal threshold logic is not configurable or visible | Applies explicit marginal or cliff formulas consistently across all teachers |
| Staff memberships and work-trade visits | Recorded as standard visits on the roster | Excluded by pricing option name, with an excluded list kept visible for auditing |
| Late cancels and no-shows | May be marked as charged even when no one was in the room | Evaluates visits strictly by the status you define (for example, checked in only) |
| Hourly front desk staff | Not generated by class visits | Tracks hours in a separate tab and merges them by employee record |
| Multi-location or co-taught classes | One flat rate per instructor cannot reflect split sessions or differing branch tiers | Looks up the rate by instructor, location, and class category, splitting pay for co-teachers |
Additional edge cases include period boundary errors—such as classes ending late at night being attributed to the wrong cutoff date—and mid-period pricing option changes where new pass types bypass existing spreadsheet filters.
How do I calculate pay in a sheet automatically?
Pandaflow connects Mindbody to Google Sheets so you can automate visit-based calculations without manual CSV exports. You connect your apps, describe the outcome in plain English, and Pandaflow’s AI sets up the sync and keeps it running. There are no workflows, templates, or playbooks to configure. If a field or format changes in Mindbody or the sheet, Pandaflow repairs the connection.
The setup process follows these steps:
- Start free.
- Connect Mindbody and Google Sheets.
- Describe what you want in plain words (for example: “Every Monday, import all completed classes with their actual instructor and checked-in visits, exclude visits using staff or comp passes, and calculate pay based on our rate table”).
- Review a few records against your Mindbody schedule to verify the headcount logic.
- Go live.
Once live, your sheet maintains clear operational visibility:
- Visits tab: each row represents a completed class, showing date, location, actual instructor, and verified eligible attendees.
- Rates tab: an auditable lookup table matching instructor, location, and class type to the agreed base and bonus rules.
- Pay tab: aggregated period earnings per staff member ready for payroll processing.
- Audit flags: highlighted rows for substitute instructors, zero-headcount classes, or unrecognized class types that require human review.
- Hours tab: a separate log for front desk shifts, merged at the employee level for staff who both teach and work reception.
Pandaflow is free to start. Paid tiers are Lite at $79, Silver at $299, and Gold at $499 a month, with deployment options in Pandaflow’s cloud or your own.
How do I send the numbers to my payroll provider?
Once calculations run in Google Sheets, you have verified per-person totals for the pay period. Most payroll providers—such as Gusto, ADP, QuickBooks Payroll, or Paychex—accept payroll data via CSV import or manual entry of regular and bonus lines.
Pandaflow does not directly file payroll or submit taxes. Mindbody lists payroll among its third-party integrations for those seeking direct third-party add-ons, whereas the spreadsheet approach offers full customizability over attendance bonuses.
Before you upload or key numbers into your payroll platform, run through this pre-flight checklist:
- Reconcile class counts against the published Mindbody schedule.
- Resolve all flagged substitute teachers and missing rate warnings.
- Confirm that employees who both teach and work reception have both components combined on their payroll profile.
- Create a frozen snapshot or duplicate tab of the approved period so future schedule edits in Mindbody do not alter past audit records.
- Provide each instructor with their itemized class breakdown so they can see exactly how their pay was calculated.
Note that classifying instructors as W-2 employees versus 1099 independent contractors is a legal and tax decision. Consult an accountant or labor specialist; your software calculations do not determine tax status.
What can go wrong?
- Unstated threshold formulas: ensure your staff agreements state clearly whether bonuses are calculated marginally or as a cliff.
- Charging vs attendance confusion: verify whether late-cancelled spots earn bonuses or if pay is strictly tied to checked-in clients.
- Mid-period compensation updates: apply pay rate changes based on the actual class date rather than the payroll export date.
- Unmapped new class types: if you introduce a new workshop or class style without adding it to your rates tab, ensure your sheet flags the missing rate instead of calculating $0.
- Reconciling pay to collections: Mindbody’s Transactions Report tracks sales receipts, while instructor pay is based on attendance. Because class packages and memberships are consumed over time, visit-based payroll will not directly match cash collections for the same dates.
