Does Mindbody integrate with QuickBooks?
No. Mindbody’s help center says it “does not integrate directly with QuickBooks and other accounting programs”. Daily sales, deposits, and card batches move into QuickBooks by hand, or through a connector. You do not need a new platform. You need a repeatable map from Mindbody totals to the accounts your bookkeeper already uses. If you run Booker, use the same daily summary and deposit match.
Why there is no direct integration
Mindbody runs schedules, memberships, retail, and client records. QuickBooks is the ledger. They are separate products, and Mindbody does not include a built-in sync that creates QuickBooks entries; its help center points owners to its sales reports instead. The decision that matters is where sales, tax, gift cards, packages, and card payouts should land in your chart of accounts. A connector only repeats the posting rules you and your accountant set.
The manual way in Mindbody or Booker
Most studios post this by hand each day or week.
- In Mindbody, open Reports and run a sales report for the date and location you are closing. You want totals by revenue category and by payment method. Staff may also use the front-desk closeout, or the end-of-day screen your version shows. Labels differ by product version and by staff permissions, so do not hunt for one exact menu name.
- In Booker, use a sales report that splits service, retail, and payment type. Post those totals the same way.
- Separate card, cash, account credit, gift card redemptions, and package redemptions before you enter anything.
- Note sales tax, tips, refunds, and voids for that day.
- In QuickBooks, add one Sales Receipt or Journal Entry for the day. Income goes to category accounts, tax to a liability, and payments to a clearing account such as Undeposited Funds.
- When the payout hits the bank, record a bank deposit that clears those payments and books processing fees to an expense account.
- Repeat for each location.
A spreadsheet export is a backup, not the ledger.
Where the manual way breaks
A short entry still fails in predictable ways.
- Time. Daily posting plus month-end cleanup eats the same hour every week, and Saturdays get skipped first.
- Missed days. The bank shows a deposit and QuickBooks has nothing to match.
- Category drift. A new service or package in Mindbody has no account map, so it hits a catch-all.
- Refunds and voids. They often land a day later and change a total you already posted.
- Gift cards and packages. Cash received is often a liability until use. Booking it as income overstates revenue.
- Fees and cutoffs. A card batch is rarely one calendar day, and the deposit is net of fees.
How to map accounts
Agree the map with your accountant before you automate. Example only; your chart of accounts will differ.
| Mindbody item | QuickBooks account | Type |
|---|---|---|
| Class and appointment revenue | Service income | Income |
| Retail products | Product sales | Income |
| Packages and memberships sold | Unearned revenue until used, or income if your accountant says so | Liability or income |
| Gift cards sold | Gift card liability | Liability |
| Sales tax collected | Sales tax payable | Liability |
| Card payments | Undeposited Funds | Asset |
| Processing fees | Merchant fees | Expense |
| Tips | Tips payable | Liability |
Package and gift card treatment is an accounting choice, not a software default. If you already use QuickBooks classes or locations, assign one per site before the first live day.
Daily sales entries
Post one summary per day per location unless your accountant wants every ticket in QuickBooks. A daily summary stays readable and lines up with deposits. Look up a single sale in Mindbody or Booker when you need the client detail.
Include:
- Income by revenue category
- Sales tax collected
- Tips, if you track them apart from service income
- Gift card and package sales, usually as liabilities
- Redemptions that reduce those liabilities
- Refunds and voids for the day
- Card amounts to clearing, and cash to clearing or the drawer account
Line-by-line sync only helps if the accountant needs that detail inside QuickBooks. It does not make card deposits easier to match. Pick a start date and stop hand-posting those days, or you will count sales twice.
Reconciling card batches
Processors pay in batches. A batch often follows a cutoff, not midnight, and the bank amount is net of fees. Mindbody may show gross card sales for a calendar day. Those two numbers will not match until you group days and record the fee.
- Post each day’s card sales to Undeposited Funds, or another clearing account you already use.
- When the payout hits the bank, create a Bank Deposit in QuickBooks and select the daily entries that batch covers.
- Enter the processing fee as a negative line to Merchant fees so the deposit equals the bank amount.
- If it still does not match, check refunds, chargebacks, tips paid out, and sales after the cutoff.
If the sales report has no fee line, take the fee from the processor payout notice. A clearing balance near zero, after batches you know are still in transit, means the match is working. A balance that keeps growing means a day was skipped or a payout was booked as income.
The automated way with Pandaflow
Pandaflow posts the daily summary after you connect Mindbody and QuickBooks, describe the outcome, review, and go live.
- Connect your apps. Start free and link Mindbody and QuickBooks Online.
- Describe the outcome. For example: each night, post that day’s sales by revenue category, send card payments to Undeposited Funds, and put gift card sales in the gift card liability account.
- Review the first entries against the Mindbody sales report and your account map. Correct the map before you rely on later days.
- Go live.
After you go live, check that each daily entry matches the Mindbody totals you described, and that card amounts sit in the clearing account until the bank deposit. Paid plans are Lite $79, Silver $299, and Gold $499 a month. You can deploy in our cloud or yours.

Month-end checklist
Run this once a month before you close the books.
- Compare Mindbody sales for the month with QuickBooks income, after gift cards and other liabilities.
- Confirm Undeposited Funds is near zero, or list batches still in transit.
- Review gift card and unearned revenue balances against Mindbody or Booker.
- Check sales tax collected against sales tax payable.
- Scan merchant fees against the processor statements.
- Map any new categories, products, or packages added during the month.
- Send your accountant the reconciled summary, not an export you have not tied to the bank.
