Mindbody Declined Payments: Recover Them the Same Day

A declined membership autopay is usually an expired card or a temporary hold, not a member who wants to leave. Sort each decline into temporary or permanent, then text the member a secure update link the same day. Tell the front desk too, so nobody gets a second message after they've already paid.

What do failed membership payments actually cost a studio?

The direct cost is one missed month. The bigger cost is the member who never learns their card failed and quietly drifts away, or the one who assumes you cancelled them.

You can size the gap from your own data. Count the members with a declined autopay this month, multiply by their monthly price, and you have the revenue at risk for that month. Do the same count the following month. If the same names keep showing up, the problem is not a one-off.

Two things make the cost grow:

  • Silent churn. Some members with an expired card keep attending. Their contract stays on the books, nobody is paying, and you only notice at month-end reconciliation. By then the conversation is awkward.
  • Delay. The later you contact someone, the more months pile up and the more the message feels like collections. A same-day message is a routine account notice. A message three weeks later is a confrontation.

How do I find declined autopays in Mindbody?

The manual way uses Mindbody’s own reporting and the client’s record. Start with the decline reason, not the total.

  1. Run Mindbody’s declined-autopay reporting for the period you care about. Confirm the exact report name and where it sits in your account, because Mindbody changes its menus and this page does not list click paths.
  2. Open each client’s account and contract to see the decline, the amount, the contract it belongs to and any retries.
  3. Check the decline reason against Mindbody’s decline codes help article. Mindbody’s own guidance on what to do when a client’s autopay is declined is the place to start when you’re unsure what to do next.
  4. Sort each decline into temporary or permanent (see the table below).
  5. Reconcile by client, not by row. This matters more than it sounds. A member with two contracts, or one contract retried twice, makes the report look worse than your real collections gap. Count unique members to get the number you can act on.

If you use Booker, use whichever failed membership or recurring payment view your account shows. The steps above still apply: read the reason, sort it, count people.

Temporary or permanent?

Decline type Typical reason What to do the same day
Temporary Insufficient funds, issuer hold, bank flagged the charge Send a gentle text saying you’ll try again and they can update anytime. Alert the desk.
Permanent Expired, closed or replaced card Send a text with a secure update link right away. The old card won’t work on retry.
Reported lost or stolen, or fraud flag Card cancelled by the issuer Treat it like permanent. Ask for a new card. Don’t share any details in the message.
Unclear or generic Generic issuer refusal Check the decline codes article, then ask the member to check with their bank before you chase again.

The split matters because a temporary decline often clears on a later attempt, while an expired card never will. Sending ‘we’ll try again’ to someone whose card expired wastes a day.

Where does the manual way break?

The manual way works on a quiet Tuesday. It fails in the places you’re busiest.

  • It depends on someone remembering to check. Declines sit unseen over weekends, during holidays and on the day the manager is teaching.
  • Contacting people one by one is slow. Pasting the same message and wondering who already paid takes time you don’t have.
  • There’s no handoff. The desk doesn’t know who was contacted, so one member gets two messages and another gets none.
  • Reports show the failure but contact nobody. Seeing the number doesn’t make anyone pick up the phone or send the text.

How do I contact a member the same day?

Keep the message short, neutral and free of blame. A good same-day text includes:

  • Your studio name, so the member knows who it’s from.
  • A plain statement: ‘We couldn’t process your membership payment.’
  • A secure update link to a payment page you control.
  • Where to reach the desk if they have questions.

Adjust the wording for the reason. For an expired card, say ‘update your card’. For a temporary decline, say ‘we’ll try again, or you can update anytime’.

Three rules keep this safe and effective:

  • Never ask for card numbers by text, email or reply. The message carries only a link. The member enters card details on the secure page, not in a conversation.
  • Only text members who have opted in to texts. Include your studio name and honor STOP. Twilio handles standard STOP replies, but your consent records are your responsibility.
  • Stop once it’s resolved. If the card is updated or the payment succeeds, no more reminders should go out.

Here is a sample you can adapt. This is an illustrative setup, not a customer story.

Hi Sam, this is [Studio]. We couldn’t process your membership payment this month. You can update your card here: [secure link]. Reply or call the front desk with any questions.

How does Pandaflow automate this?

Pandaflow connects your apps and keeps the connection running. You don’t build workflows, templates or settings. The steps are:

  1. Start free.
  2. Connect your apps. Connect Mindbody (or Booker), Twilio for texts and Slack for desk alerts.
  3. Describe what you want in plain English. For example: ‘When a member’s autopay is declined, text them a link to update their card, and tell the front desk in Slack.’
  4. Review a few records. Check a few real declines to confirm the right members and reasons come through.
  5. Go live.

Once it runs, the owner sees two things. The member gets the same-day text with the secure update link. The front desk gets a Slack message with the member’s name, the amount and the decline reason. The Slack alert carries no card details.

Pandaflow keeps the sync running and repairs it when something changes, so you’re not checking it by hand every week. You can read more on Mindbody integrations, and you can see pricing for the plans. Pandaflow is free to start, plans are Lite $79, Silver $299, and Gold $499 a month, and you can deploy in our cloud or yours.

Pandaflow does not store or process card details. The update link goes to the member’s secure payment page.

What can go wrong, and how do I prevent expired-card declines?

Most failed recovery comes down to a few avoidable mistakes:

  • Messaging members who never opted in to texts. Check consent before you turn anything on.
  • A link that goes to the wrong or an insecure page. Test it yourself before any member sees it.
  • Messages that go out after the member has already paid. This is the most common complaint about reminder automation. Make sure the desk can stop follow-ups when a member pays at the desk or updates online.
  • Repeated reminders that feel like collections. Keep the sequence short.
  • Sensitive details in Slack. Alerts should name the member and reason, nothing more.

Prevention beats recovery. Card expiry dates are visible on the client’s account, so you can see which cards expire next month. Flag those, send a heads-up before the charge, and ask your payment processor whether it offers card account updater. Availability varies by processor and plan, and Mindbody Payments’ own documentation should be checked for what it offers in your setup.

Review a few real declines before you go live. Five minutes of checking saves you from messaging the wrong people on day one.

FAQ

Frequently asked questions

How do I see declined payments in Mindbody?

Use Mindbody's declined-autopay reporting along with the client's account and contract, and check each decline reason against Mindbody's decline codes help article. Menu names change, so confirm the exact report name in your own account before you rely on it.

How should I ask a member to update their card?

Send a short, neutral text or email the same day with a link to a secure payment page. Never ask for card numbers in a reply, and tell the member who to contact at the front desk.

What happens to a membership when autopay fails?

That depends on your Mindbody contract and your studio's policy. Many studios keep the membership active while they follow up, then suspend or cancel it later, so check how yours is set up. Either way, the sooner the member hears from you, the less likely they are to lapse.

Does Pandaflow work with Booker as well as Mindbody?

Yes. Pandaflow connects both Mindbody and Booker to apps like Twilio and Slack, so you describe the same outcome for either one.
