Sell class packs on Shopify, fulfilled in Mindbody

Yes. Shopify can sell class packs and gift cards, but Mindbody does not read Shopify orders on its own, so a sync has to create the matching pricing option or gift card in Mindbody after payment. Each Shopify product must map to exactly one Mindbody pricing option or gift card, keyed on a SKU or ID rather than a product title, and you need to decide which system holds gift card balances.

Can a Shopify purchase add a class pack or gift card in Mindbody?

Yes, but only with a sync in between. Mindbody does not read Shopify orders on its own, so something has to take a paid Shopify order and create the matching pricing option or gift card in Mindbody. When the mapping is right, a pack bought at 11pm is on the client’s account before they walk into class.

Mindbody has its own online selling tools, including branded web and embeddable widgets, so Shopify is not required for packs. It earns its place when packs have to sit in the same cart as retail, or when your discount codes, bundles, and promotions already run in Shopify. Booker works on similar principles, but its package and gift terms differ, so check the equivalent product type before you map anything.

How do you do it by hand today?

The manual route usually runs like this:

  1. An order arrives in Shopify.
  2. Staff find the buyer in Mindbody by email, or create a client profile.
  3. Staff sell the matching pricing option, or a gift card, with a payment method that marks it as already paid outside Mindbody.
  4. Someone emails the customer a confirmation, or the gift code.

Check four things each time: the pricing option’s session count, its expiration and start rule, whether the email matched an existing client, and the gift card code. Look up the pricing option setup, the client profile, and the gift card sale screen by name in Mindbody’s help center rather than relying on an informal checklist.

Where does the manual way break?

  • Delay. The pack is not usable until someone keys it in, so the customer arrives for class without the credit.
  • Duplicate clients. An email typo, a different address, or a family member’s email creates a second client record.
  • The wrong pricing option. Similar names such as “10 pack” and “10 pack intro” are easy to mix up at speed.
  • Double-counted revenue. Shopify holds the payment, and Mindbody records a sale. If both feed QuickBooks or Xero, revenue counts twice.
  • Refunds that leave packs live. A refund in Shopify does not stop the pack in Mindbody on its own.
  • Two gift card balances. A Shopify-native gift card and a Mindbody gift card each have their own balance, and neither can see the other.
  • Multi-location confusion. In studios with multiple locations, a pack sold on Shopify must be assigned to the correct Mindbody location, or the pricing option will be valid at the wrong site.

How should you set up the products in Shopify?

Create one Shopify product per offer, with a variant for each pack size. Give every variant a SKU that matches the Mindbody pricing option ID or name. Use the SKU as the link, not the variant title: if someone renames a product in Shopify, a title-based link breaks silently.

Then:

  • Mark packs and gift cards as digital items not requiring shipping.
  • Write the expiry and start terms on the product page to match the Mindbody pricing option exactly. The clock is governed by Mindbody, so the page description must agree with it.
  • Decide the gift card route first. If the card has to work in the studio, sell a product that issues a Mindbody gift card, not Shopify’s native gift card.
  • Add recipient name and email fields for gifts, and note intro-offer eligibility clearly so existing clients do not purchase introductory rates.
Shopify purchase Matching key Result in Mindbody Watch for
Class pack variant (for example, 10 classes) SKU or pricing option ID Pricing option added to the buyer’s client account Expiry and start rule must match the product page

How do gift cards work across two systems?

Pick one system to hold the balance. A Mindbody gift card is redeemed in Mindbody. A Shopify-native gift card is redeemed only at Shopify checkout. If a gift bought online has to be spent at the front desk or on studio bookings, the Shopify product must issue a Mindbody gift card.

A gift also involves two people. Send the code to the recipient, not just the purchaser. Do not create a Mindbody client profile for the recipient until they actually redeem the card, keeping the purchaser’s profile distinct.

How does Pandaflow connect Shopify checkout to Mindbody?

Pandaflow handles the sync directly using AI. You do not build custom workflows, and there are no templates or complex logic settings to configure.

  1. Start free.
  2. Connect your apps. Connect Mindbody and Shopify.
  3. Describe what you want in plain English. For example: “When someone buys a pack on Shopify, add the matching pricing option to their Mindbody account. When someone buys a gift card, create the Mindbody gift card and email the code to the recipient.”
  4. Review a few records or place a test order. Check that the pack lands on the right client profile with the right expiry.
  5. Go live.

Afterward, you see the pack on the client’s Mindbody account and the gift card issued with its code. If a product has no matching pricing option, or a client match is ambiguous, the record is held for human review rather than guessed. Pandaflow keeps the sync running and repairs it when changes occur. You can deploy in our cloud or yours.

Pandaflow is free to start. Paid plans are Lite at $79, Silver at $299, and Gold at $499 a month. See pricing for details.

What can go wrong?

  • New variants with no match. A new or renamed Shopify variant with no matching Mindbody pricing option should be held for review, not guessed.
  • Intro offers bought by existing clients. Decide whether to block the purchase, convert it to a standard pack, or issue a refund.
  • Refunds. Agree on who cancels an unused pack, and establish a policy for packs where sessions have already been attended.
  • Accounting. Pick one source for daily sales going to QuickBooks or Xero so revenue does not double-count.
  • Multi-location scoping. Verify that each variant maps to a pricing option valid for the appropriate studio location.
  • Test before launch. Place a real, small test order and confirm the pricing option appears with the correct session count and expiry date before opening checkout to clients.
FAQ

Frequently asked questions

Can a Shopify purchase add a pack in Mindbody?

Yes, through a sync that matches the buyer to a Mindbody client and adds the pricing option mapped to that Shopify product. Mindbody does not do this by itself. Pandaflow sets up the sync from a plain-English description.

Can I sell Mindbody gift cards on Shopify?

Yes, if the Shopify product is set up to issue a Mindbody gift card and send the code to the recipient. A Shopify-native gift card can only be redeemed at Shopify checkout, so it will not work at the studio desk.

Do I need Shopify to sell packs online?

No. Mindbody has its own online selling tools, such as branded web and widgets. Shopify makes sense when packs need to share a cart with retail or when your discounts and promotions already run there.

What happens if the buyer is not yet a client in Mindbody?

The sync first looks for an existing client with the same email. If none matches, it creates a new client so the pack has somewhere to land. Review the first batch for near-duplicates.

Does a Shopify refund remove the pack in Mindbody?

Not by itself. A refund in Shopify does not remove the pack from Mindbody, so you need to decide who removes an unused pack and what happens if some classes were already taken. Pandaflow can flag those cases for review.

Does this work with Booker?

Booker can be connected too, but its package and gift terms differ from Mindbody's. Map each Shopify product to the equivalent Booker product before going live.
