Mindbody pricing: plans, fees, and what to ask

Mindbody pricing is not a single monthly fee. It combines a software plan with add-ons, payment processing, and other charges that can include usage and marketplace fees, depending on your locations and agreement. Use Mindbody's pricing page or a written quote for figures, then check which of those features you actually use.

How Mindbody pricing is structured

Mindbody pricing is not one number. The bill is a stack: a software plan, optional add-ons, payment processing, and other charges that depend on how you use the product and what the agreement says.

Mindbody lists plans on its pricing page. That page is the place to compare tiers and request a quote. Names, included features, and any published rates change, and many accounts are negotiated. This guide does not quote Mindbody dollar amounts. Use the live page or a written quote.

Read a quote as separate parts:

  • Software plan. The recurring subscription. Ask how each location is priced, and whether every site is on the same tier.
  • Tier differences. On the pricing page, compare scheduling, client records, checkout, reporting, and marketing. Match what your team uses to the plan name on the invoice. A feature you rely on may not be in every tier.
  • Add-ons. Some products sit outside the base plan. Check the invoice for a branded client app, extra marketing, or other tools with their own line.
  • Payment processing. Electronic payments taken in Mindbody checkout carry processing fees. Your rate and any other payment charges are in the merchant agreement.
  • Messages and other usage. Check whether email and text tools include an allowance, and what extra messages cost on your tier.
  • Mindbody app listings. The consumer app can send you bookings from people who found you there. Ask whether any of those bookings carry a fee, which bookings qualify, and how the fee is shown.

Booker is a separate product. If you are on Booker, ask for Booker’s plan, add-ons, processing, and message terms. Do not assume Mindbody tier names apply.

Add-ons and fees owners overlook

The plan price is the figure people remember. These are the charges that get missed:

  • Processing, not the headline rate. When memberships, packages, and retail bill to a card, a small rate gap adds up. On a recent merchant statement, divide processing fees by the card volume they apply to. That effective rate is what to bring to renewal. Also note monthly payment charges, batch fees, or chargeback fees if they appear.
  • Message volume. Reminders and campaigns can cost more than the gap between two software tiers. Measure a busy month against your included limit and the extra-message rate.
  • Add-ons that stayed on. A branded app, an extra login, or a converted trial can bill after nobody uses it. For each line, name who used it recently. If you cannot, ask to remove it.
  • Each extra location. Another site may mean another plan charge, plus its own processing and messages. Get one quote that lists every location.
  • Connection fees. Ask whether the agreement charges for API access or a partner connection. If it is silent, get the answer in writing.
  • Tools on other invoices. Accounting, email, retail, and reporting subscriptions you added to fill a gap belong on the same cost sheet, even though Mindbody does not bill them.

Where the money goes in practice

Do one pass through documents you already have, before a renewal call.

  1. Invoices. From the last two or three Mindbody or Booker invoices, list every recurring line: plan, location, add-on, messages, and anything you do not recognize. Copy the plan name as printed.
  2. Merchant statement. For those same months, total processing fees and the volume they apply to. The statement shows amounts. The agreement defines them.
  3. Reports you already open. In Mindbody, use Reports for the sales, client, and attendance or visit views your manager already runs. In Booker, use the sales and appointment reports the desk already uses. If a paid feature never appears in that work, mark it unused.
  4. A three-column sheet. What you pay, what it is for, and whether anyone uses it. Include outside tools that exist only because someone copies data by hand.

Take the sheet into the renewal call so the conversation is about your account. Update the sheet when a line item changes, not only when the contract is about to end.

Where the manual check breaks down

The check is useful once. Then it slips:

  • People do it at renewal and not again until the next contract date.
  • Hand exports take long enough that the file is stale when someone asks.
  • Bookings and visits stay in Mindbody or Booker, while retail, email, and accounting stay elsewhere. No one sees the full cost of running the business.
  • When the person who knows the reports leaves, the habit leaves too.

Price is half the question. The other half is whether you use the client, visit, and sales data you already pay to collect.

Getting more from your plan with tools you already use

Keep the Mindbody or Booker subscription. Connect the other tools you already pay for so those records show up where the team works.

Pandaflow does that next to Mindbody or Booker. It does not replace either product, and it does not set your software price or your processing rates. The Mindbody integration is how bookings, clients, visits, and sales can sit with the rest of the business.

Four steps:

  1. Connect your apps. Mindbody or Booker, plus tools you already use, such as QuickBooks, Xero, Shopify, HubSpot, or Google Sheets.
  2. Describe the outcome. Say which records should move, where they should land, and how often.
  3. Review. Check a sample of clients, dates, and amounts before you rely on it.
  4. Go live. Start once the sample looks right, and watch the first few runs.

Sales and visits can then sit next to the books or the sheet a manager already opens. The renewal sheet stays easier to update. You can see which services, memberships, and locations drive the activity you pay to manage, and whether an add-on duplicates something the current plan already covers.

Pandaflow is free to start. Paid plans are Lite $79, Silver $299, Gold $499 a month. You can deploy in our cloud or yours. See Pandaflow pricing.

Questions to ask Mindbody before renewing

Ask for written answers about your account:

  • Which plan is each location on, and which of its features go unused?
  • What is the per-transaction processing rate, and which other payment fees apply?
  • What message limits are included, and what do extra emails and texts cost?
  • Which add-ons are billed now, and when did each start?
  • How are bookings from the Mindbody app handled, and do any carry a fee?
  • How is each location priced?
  • Do any fees apply if we connect outside tools?
  • What notice and terms apply if we change plans during the contract?

If you are on Booker, ask Booker. A Mindbody quote does not cover a Booker agreement.

Before you change the plan

  • Comparing only the plan price misses processing, messages, add-ons, and other subscriptions.
  • A lower tier can remove reports, marketing, or scheduling options the desk uses. Confirm the list before you switch.
  • Old screenshots and forum posts go stale. Get a current quote.
  • A higher tier is not the only fix when data never reaches the books or the sheet your team reads. Connecting those tools can be the smaller change. Compare it with a tier change using your own invoice.

More on choosing and connecting tools is in the other guides.

FAQ

Frequently asked questions

How much does Mindbody cost per month?

There is no single monthly price. It depends on the plan, the number of locations, add-ons, payment processing, any message or other usage charges, and your agreement. Use Mindbody's pricing page or a written quote for figures rather than a third-party number.

Does Mindbody charge payment processing fees?

Yes. Payments taken through Mindbody checkout carry processing fees. The per-transaction rate and any other payment charges are in your merchant agreement and on your processing statement.

Can I lower my Mindbody bill?

You may be able to, by removing add-ons nobody uses, checking message volume, and asking about your processing rate before renewal. Confirm you still need every feature in the current tier before you move down, and bring your invoice lines to that conversation.

Is Booker priced the same way as Mindbody?

No. Booker has its own subscription and payment terms. Ask Booker for the plan, add-ons, processing, and message charges on your account. Do not apply Mindbody tier names to a Booker bill.

Can Pandaflow replace Mindbody?

No. Pandaflow connects Mindbody or Booker to tools you already use so bookings, clients, visits, and sales are easier to review. It does not replace Mindbody or Booker, and it does not change their prices.
