Momence vs Mindbody: which fits which kind of business?
Both are booking and payments platforms for studios, gyms, salons and spas. There is no universal winner. The right choice depends on your business type, your real payment costs, and what has to connect to what you already use.
Use this as a starting list of what to test for your setup:
- Single-location yoga, pilates or barre studio: test class scheduling, membership and class-pack rules, waitlists, and how your booking page looks on your own website.
- Multi-location studio or gym (1-5 sites): test how schedules, staff and reporting work across sites, and whether your tier limits users or locations.
- Salon, spa or med-spa: test appointment depth, staff schedules and commissions, retail sales and inventory, and gift cards.
- Hybrid in-person and virtual classes: test how online and virtual classes are delivered, and how they show up in your reports and payments.
Mindbody is an established platform with a consumer marketplace app. Momence is a newer platform; you should verify its current capabilities and roadmap directly on its pages. Pandaflow is a Mindbody partner and works with Mindbody; this page is for owners weighing options and looking at what can be solved without changing platforms.
How do the features compare?
The table below uses Mindbody’s own comparison page for its column. That page says it was made in 2024 from Momence’s website and third-party review sites, so confirm every point against both vendors’ current pages. Features also vary by region and tier, as Mindbody notes.
| Area | What Mindbody says | What to verify for either platform |
|---|---|---|
| Scheduling and booking | All bookings on a single platform; branded schedules can be embedded on your website | Class vs appointment depth, waitlists, multi-location rules, how the embed looks on your site |
| Staff management and payroll | Team scheduling and payroll listed as included | Payroll export format, commission and pay-rate rules, tier limits |
| Payments | Publishes its own comparison of processing rates; ask for current rates in writing | Written quote: card-present and online rates, per-transaction fees, payout timing, monthly minimums |
| Onboarding and support | Says it handles setup; 250+ live agents; 24/7 AI assistance | Who sets up your data, support hours and channels, response times in writing |
| Reporting | Says over 100 reports plus AI/ML tools | Which reports export to CSV, which fields you get, whether raw data is reachable by API |
| Users | Says unlimited users per location | Whether logins or staff seats are priced separately on your tier |
| Consumer marketplace | Says the Mindbody app drives new-client discovery (figures from selected high-volume locations) | How many of your recent new clients came from marketplace listings |
| Other services | Business funding and industry-specific insurance listed | Whether you need them, and availability in your region |
| Pricing | Plans described for different business needs; no prices quoted in the sources for this page | Current prices and total cost from each vendor, since plans can change |
The row that can change your total cost most is payment processing. A low monthly plan price does not tell you what you pay per card. To compare fairly, ask each vendor for a written quote that covers the card-present rate, the online rate, any per-transaction fee, payout timing and any monthly minimum. Then apply those rates to your last 3 months of card volume. Marketing claims about percentages should not replace that calculation.
Mindbody’s marketplace row is worth testing too. Its page says the app can offset up to 100% of subscription costs, and that figure comes from its own data. Check how many of your last 50 new clients came through a listing before you give it weight.
What about integrations and access to your data?
This is where platforms differ most in daily life, and it is worth asking both vendors the same five questions:
- Which accounting tools does it connect to, and at what level: a daily summary or line-item detail?
- Is there a public API, and who can turn it on for your account?
- Which reports export to CSV, and with which fields?
- Which email and SMS tools connect directly?
- Can you export full client, visit, sales and membership history yourself?
Mindbody exposes data through standard reports and a public API. What you can pull depends on your account and permissions, so check your export access now rather than when you need it.
Some gaps exist whichever platform you run. Retail and inventory may live in Shopify. Daily sales may need to land in QuickBooks or Xero. Visit and purchase follow-up often sits in HubSpot, Mailchimp, Klaviyo or ActiveCampaign. Ad conversions need to reach Meta Conversions API and Google Ads. Reporting often lives in Google Sheets and Looker Studio, texts go through Twilio, team alerts go to Slack, and virtual classes run on Zoom.
Pandaflow connects Mindbody to these tools, so many of these gaps can be closed without changing booking platform. You can see the details on our Mindbody integrations page.
What would any change involve for your data?
This section is about knowing your data, not about moving it. Pandaflow is a Mindbody partner and works with Mindbody. We can evaluate a business’s Mindbody data, make sense of it, and map what any change would involve, whichever way the owner decides.
The items that are hardest to carry over are usually these:
- Active autopay memberships. Card tokens are generally held by the payment processor, so cards may need to be collected again unless a secure transfer is arranged.
- Remaining class-pack credits and their expiry dates.
- Gift card balances.
- Intro-offer history, so new clients cannot buy a new-client deal twice.
- Waivers and visit history, with original dates.
- Client IDs that link purchases and visits to the same person.
Dates and IDs matter most. If visit and purchase history is re-imported as ‘created today’, first-visit dates, lapsed-client lists and lifetime value reset. That damages retention reports in HubSpot or your email tool just as much as it damages the booking system. For a deeper checklist, read what to check before you change platforms.
If you want an outside view of your data, Pandaflow is free to start. You connect your apps, describe what you want in plain English, review a few records, and then go live. Plans are Lite at $79, Silver at $299 and Gold at $499 a month, and Pandaflow can be deployed in our cloud or yours. You can see pricing on our pricing page.
How should you decide?
Use this order:
- List the three things that cost you the most time or money each week.
- Get written quotes from both vendors, including card processing.
- Test each vendor’s data export and integration answers against the five questions above.
- Count how many new clients come through marketplace listings, your own website and referrals.
- Ask whether the gap is the platform itself or a missing connection between tools.
Often the answer to step 5 is the connection. If Mindbody is working for your classes and bookings, connecting it to Shopify, QuickBooks or Xero, HubSpot and the rest may close the gap without a platform change. If you do evaluate another platform, the same data questions apply. For other options, see our studio software comparison.
The data and connections matter more than the platform name. Pandaflow can evaluate and map your Mindbody data whichever way you go.
