Vagaro or Mindbody: which fits which kind of business?
Both platforms cover the basics: online booking, payments, memberships and client records. Neither is a universal winner. The right fit depends on your business type, your size and how many other tools you need to connect around the software.
The only comparison used for this page is Mindbody’s own. It says Vagaro is built for smaller-scale businesses and that Mindbody offers plans for different sizes. That is Mindbody’s framing, not a neutral finding, so read Vagaro’s own pages before you decide.
A rough guide by business type:
- Class-based studios (yoga, pilates, barre, cycling): test class scheduling, waitlists, memberships, class packages and how credits expire.
- Salons and spas: test appointment calendars, staff scheduling and retail sales.
- Multi-location or growing businesses: test reporting and staff permissions across every location.
How do Vagaro and Mindbody compare feature by feature?
The table below repeats Mindbody’s comparison. The Vagaro column is Mindbody’s description from 2024, not a current Vagaro statement. The last column is what to check yourself.
| Area | Mindbody (per Mindbody) | Vagaro (per Mindbody, 2024) | What to verify yourself |
|---|---|---|---|
| Scheduling, waitlists, booking | Listed as offered | Listed as offered | Waitlist behaviour, appointment buffers, recurring bookings |
| Online sales: retail, gift cards, memberships, packages | Included | Extra cost | Exact add-on price, and how package credits and expiry work |
| Staff management and payroll | Included | Extra cost | Whether payroll data exports to your payroll or accounting tool |
| Self check-in | Included | Extra cost | Hardware or app needed, and cost per location |
| Email and SMS marketing | Included | ‘Free for a limited time’ | Current pricing, SMS credits and consent handling |
| Integrations | 90+ preferred integrations | Limited, at extra cost | Whether your actual tools are supported, and which fields sync |
| Users per location | Unlimited | Not detailed by Mindbody | Login or staff-seat charges on each plan |
| Consumer booking app | 3M+ active users, per Mindbody | Not detailed by Mindbody | Real client discovery in your area and category, and any fees |
| Support | Onboarding help, 24/7 AI assistance and live support, per Mindbody | Described by Mindbody as weaker (its opinion) | Support hours and channels on your plan, from recent customer reviews |
‘Included’ and ‘extra cost’ labels change. Mindbody lists Vagaro’s email and SMS tools as ‘free for a limited time’, which shows how quickly bundles move. Mindbody also notes that not all features are available in all regions or on all tiers. Check the plan you would actually buy, in your region, at the time of writing.
Ask each vendor for a written quote that lists every add-on: payroll, self check-in, SMS credits and extra locations. Compare the total monthly cost, not the headline plan price.
Which integrations matter, and who controls access to your data?
A count like ‘90+ preferred integrations’ tells you little about whether your setup is covered. Count the tools you actually run, then check each one.
For each connection, ask:
- Which records move? Clients, visits, purchases, packages, gift card balances or daily sales totals.
- In which direction, and how often?
- What happens when someone edits a record in one system?
The gaps that most often show up around any booking platform:
- Retail and gift cards against a Shopify store.
- Daily sales reaching QuickBooks or Xero as one lump sum.
- Visit-triggered follow-up in HubSpot, Klaviyo, Mailchimp or ActiveCampaign.
- Reporting in Google Sheets and Looker Studio.
- Ad conversion tracking in Meta Conversions API and Google Ads.
- Text messages through Twilio, Slack notifications for team alerts, and Zoom links for virtual classes.
Run a data access test before you commit. Can you export clients, visit history, memberships and sales yourself, and on which plan? Check each vendor’s current export and API documentation, since a comparison page is not the place to confirm that.

What would a change involve for your data?
Whichever platform you run, the data work is much the same. Don’t move anything based on this page alone.
Pandaflow can evaluate your Mindbody data, make sense of it and map what any change would involve. The decision stays with you.
The items that are easy and hard to carry across are different:
- Easy: names, emails, phone numbers and marketing consent.
- Hard: package and class credit balances with expiry dates; memberships with autopay and billing dates; gift card balances; open waitlists; future bookings; visit history for retention reports; notes and waivers.
- Does not transfer at all: a marketplace listing, reviews, and a client’s saved app account.
Mindbody says it will move client data for free for businesses switching from other software. That is Mindbody’s offer. The hard items above still need checking line by line.

How do you decide, and can you keep Mindbody and add what is missing?
Write down your three biggest daily frustrations. For each one, decide whether it is a platform limit or a connection gap, then compare total cost.
If the frustrations are connection gaps, such as retail not matching Shopify, sales missing from accounting or no follow-up after visits, they can often be fixed by connecting your existing tools. Pandaflow’s position is simple: Keep Mindbody. Connect everything else.
How Pandaflow works:
- Start free.
- Connect your apps.
- Describe what you want in plain English.
- Review a few records or place a test order.
- Go live.
Pandaflow’s AI sets up the sync and repairs it when something changes. You don’t configure workflows or templates.
Pandaflow is free to start. Paid plans are Lite at $79, Silver at $299 and Gold at $499 a month, and you can deploy in Pandaflow’s cloud or your own. See pricing for current details.
This is an illustrative setup, not a customer story. A pilates studio on Mindbody with a Shopify store connects the two so retail sales and gift cards agree, and daily sales flow to QuickBooks.
What can go wrong?
- Treat comparison tables as a starting list. The Vagaro column dates from 2024 and both vendors change plans.
- Check package and membership balances first. A mismatch there costs more to fix than a missing report.
- Don’t rely on headline prices. Get written quotes that list every add-on.
- Test with your own records. Pick a few clients with package balances, a gift card and an open waitlist, and see what each system shows.
