Which is better for my kind of business: WellnessLiving or Mindbody?
Both platforms cover the basics: class and appointment scheduling, memberships, payments, marketing and a client app. Public pages can’t settle which one is right for you, so the honest answer is to test both with your own business.
Here is how each one presents itself for common business types, based on public pages:
- Yoga, pilates, barre and cycling studios. Both target these. WellnessLiving has dedicated yoga and pilates pages. Mindbody has a large consumer app for discovering classes, which matters if walk-in discovery drives your sign-ups.
- Salons, spas and med-spas. WellnessLiving has dedicated pages for salons, spas, med spas and barbershops. Mindbody serves these businesses too, and Booker is its product aimed at salons, spas and med-spas.
- Gyms and multi-location businesses. WellnessLiving has an Enterprise page for multi-location operators. Mindbody supports multiple locations as well. Ask both vendors how reporting and staff permissions work per location, because that is where multi-site setups usually get awkward.
If you already run Mindbody and the real problem is gaps, such as retail stock, accounting, follow-up emails or reporting, a platform change is not the only fix. It is worth reading how Mindbody compares with other studio software before you decide.
How do WellnessLiving and Mindbody compare feature by feature?
The table below uses only public pages and general knowledge. Where a public source does not say, it says to check with the vendor, so no plan details are invented.
| Area | WellnessLiving | Mindbody |
|---|---|---|
| How it describes itself | All-in-one, AI-powered platform for fitness, wellness and beauty (its own wording) | Scheduling, memberships, point of sale and marketing for fitness, wellness and beauty |
| Business types with dedicated pages | Gyms, yoga, pilates, martial arts, dance, med spa, spa, salon, barbershop, enterprise | Fitness, yoga, pilates, cycling, salon, spa and wellness; Booker for salons, spas and med spas |
| Core tools | Scheduling, billing, marketing, mobile app tools | Class and appointment scheduling, memberships, point of sale, marketing, branded app |
| AI features | Markets AI for filling classes, winning back clients, and answering calls and messages 24/7 | Check with Mindbody for current AI features |
| Consumer discovery | Consumer page for finding and booking local services | Consumer app for discovering and booking classes and services |
| Multi-location | Dedicated Enterprise page | Supported; check reporting and permissions on your plan |
| Integrations and API | Check with WellnessLiving which integrations are built in and what the API offers | Public API and partner ecosystem; access depends on plan and permissions |
| Migration help | Says its migration specialists handle data migration and onboarding | Ask about data export for your account |
| Pricing | Quote-based; a new-customer subscription discount was advertised at the time of writing | Quote-based; ask for the all-in cost |
A table cannot show you the things that decide daily life: the booking flow your clients see, how fast the front desk works, and whether the reports answer your questions. Those only show up in a demo. Bring your hardest cases: a pack with an expiry date, a family account that shares credits, and a membership that needs a mid-cycle freeze.
On pricing, get written all-in quotes from both vendors. Ask for processing rates, the branded app, SMS and email costs, extra locations and onboarding or migration fees. WellnessLiving advertised a subscription discount for new customers at the time of writing. A discount on the subscription does not change any of those extras.
What about integrations and access to your data?
Ask either vendor these questions before you commit:
- Which integrations are built in, and which need the API or a third-party tool?
- Does your plan include API access?
- Which reports export to CSV or Excel?
- Can you pull full client, membership, visit and sales history on demand, without a support ticket?
Mindbody has a public API and a partner ecosystem. Which data you can reach depends on your plan and account permissions. From what studios commonly ask for, the native links often stop short of the outcome they want. For example, in-studio sales may not reach your Shopify inventory, and a visit may not trigger a HubSpot follow-up. Check the specific integration and your plan rather than assuming either way. You can see what Pandaflow connects to Mindbody on the Mindbody integrations page.
This matters more than any single feature. The connections (Shopify, HubSpot, QuickBooks or Xero, email platforms, Meta and Google Ads tracking, Twilio, Slack) are where manual work piles up, and that is true on any booking platform.
What would changing platforms involve for your data?
A client export is not a full history. Sort your data into three groups before any move.
Usually easy: names, emails, phone numbers and basic profiles.
Needs a checklist:
- Active memberships, billing dates and recurring autopay
- Pack credits and their expiry dates
- Intro-offer history, so a client cannot buy the intro offer twice
- Gift card balances, waivers and visit history
- Stored cards. These are usually tokens held by the payment processor, so they can’t be exported to a spreadsheet and need the processors to cooperate.
Outside the platform, but pointing at it: booking links and widgets on your website, the reserve link on your Google Business Profile, social booking buttons, Meta and Google conversion tracking, email and SMS lists, forms, and any sync into HubSpot, Shopify or your accounting software. Historical ad-conversion data does not carry across, so a change resets your attribution baseline.
Two more things break in practice:
- Running both systems at once. WellnessLiving’s own migration article says many studios keep both systems active during a switch. That reduces downtime but creates double-booking and double-billing risk. Name one source of truth for each data type and an end date for the overlap.
- Reports that don’t match. Sales date, payment date and accrual (revenue recognised as classes are used) give different totals for the same month. Agree on one definition before you compare months or send numbers to your accountant.
Whatever direction you go, Pandaflow can evaluate your Mindbody data, make sense of it and map what any change would involve. Read what to review before any change to Mindbody as a checklist for the decision, not as advice to leave.
How do you decide, and can you keep Mindbody and fill the gaps?
A workable process:
- List the three jobs your software does worst today.
- For each one, decide whether it is a feature gap or a connection gap.
- Demo each product using your own hardest scenarios.
- Get written, all-in quotes.
- Check how you would export your data, and what it would take to keep your connections working.
If the gaps are connection gaps, keeping Mindbody and connecting it may be enough. Pandaflow connects Mindbody and Booker to Shopify, HubSpot, QuickBooks, Xero, Google Sheets, Mailchimp, Klaviyo, Meta and Google Ads, Twilio, Slack and Zoom.
Here is how the setup goes:
- Start free.
- Connect your apps.
- Describe what you want in plain English.
- Review a few records, or place a test order for Shopify.
- Go live.
Pandaflow’s AI sets up the sync and keeps it running, repairing it when something changes. Pandaflow is free to start, with paid plans at Lite $79, Silver $299 and Gold $499 a month, and it can be deployed in Pandaflow’s cloud or your own. See pricing for the current details.
The data and the connections matter more than which logo is on the booking page. Get those right, and the platform choice becomes a fair decision you can make with real numbers.
